What is a Complying Written Arrangement?

A Complying Written Arrangement (CWA) is an agreement to provide care in return for fees. All child enrolments at your service must have an agreed CWA for the family to be eligible for CCS. Creating the CWA is the first step to creating a child's CCS enrolment.

✅ Before creating a new CWA, please make sure that:

The child is active on Office.
The primary carer for the child is correct.
Both the child and primary carer's DOB and CRN are correct on their Office profile.
If the child/ren will attend regularly, the child has at least 6 weeks' worth of bookings on the Master Roll. (Note: If not inputted, you will need to enter these into the government enrollment notice manually.)
If the child will attend casually or only during vacation care, you will need to make a Casual CWA

💡 Create CSS Enrolment Tips:

💡 Tip: Ensure The CCS Enrolment Date matches up with the child's First Date of Bookings, or the CCS (Child Care Subsidy) will not be applied to those Bookings, and parents will pay Full Fees.
💡 Tip: The Child Booking Days and Fee will be picked up from the Master Roll. This information will be displayed to the parent when the CCS enrolment is confirmed.
💡 Tip: Confirming the enrolment. (Technically, it doesn't need to be correct, but parents may dispute it if it's not)
💡 Tip: You may need to manually resubmit the child booking/sessions if the child has already enrolled and started at Woodlands.
💡 Tip: Please note that you will not have to complete manual submissions going forward, as Xplor will automatically submit the child bookings/sessions every Friday Night as long as the government enrolment is in place in terms of occurrences.
🎯 The Main Goal: Link the CCS enrolment with Woodlands, allowing the CCS Child Care Subsidy to flow onto the account. You can also amend information on the confirmed CCS enrollment. Main Point - You will have fewer issues when the enrollment is confirmed. Once confirmed, you can update it accordingly.

⛔ Once the Child CCS enrolment has been generated, it will appear as PENDING OR MISSING APPROVAL
🔊 Once you create and submit the CCS enrollment, the parent will be notified by email and via the Centrelink/Mygov App to review and confirm the CCS enrolment for their child.
💬 You may also want to communicate to the parent that this needs to be confirmed and that the CCS enrollment should be in their Mygov/Centrelink.

💡 Parent Confirming CSS Enrolment Tips:

💡 Tip: Once the CSS (Child Care Subsidy) is linked, all The CCS (Child Care Subsidy) weekly automatic submissions will pick up the fees and hours in Master Roll, including attendance.
💡 Tip: Once the parent has confirmed the Government Enrolment, the CCS enrolment in Xplor under Government Enrolments will update from PENDING OR MISSING APPROVAL TO CONFIRMED.
💡 Tip: It's advisable to double-check the Child Government Enrolment, focusing on the Entitlements section, which encompasses the Family's CCS Percentage and Hours Per Fortnight. If any details are missing, it indicates that the CCS entitlements haven't been finalized yet. In such cases, it's important to keep an eye on it, and parents should be informed to follow up with Centrelink/Services Australia to ensure there are no issues delaying the entitlements. Typically, it might still be in progress and needs time to be processed within the system.
